A good workshop or offsite gets people out of their usual routine and focused on a few important questions. A venue in Canberra City makes that easy: it is central, close to public transport, and surrounded by cafés and restaurants for breaks and dinners.

This guide walks through the planning, from setting outcomes to choosing a layout, sorting catering and AV, picking a date and getting everyone there.

Workshop planning checklist

Work through these in order. Most problems on the day trace back to a skipped step.

  1. Set the outcomes. Write down the two or three decisions or outputs you want by the end of the day. Everything else follows from this.
  2. Confirm numbers. Count people in the room and people joining online separately. They need different things.
  3. Choose a date. Check public holidays, school holidays and any calendar that affects your attendees (more below).
  4. Pick a layout. Match the room setup to how people will work.
  5. Book the venue. Ask about setup time, access hours, AV, catering and accessibility.
  6. Plan the agenda. Build in breaks every 60 to 90 minutes and a proper lunch.
  7. Send joining instructions. Address, level, transport, parking, dietary requirements and a contact number on the day.
  8. Test the tech. Run through slides, screen sharing and the video link before guests arrive.
  9. Capture the output. Nominate someone to record decisions and actions, and send them within a day or two.

Which room layout should I choose?

The layout shapes the conversation. Pick it based on how much people need to talk to each other.

  • Theatre: rows of chairs facing the front. Best for talks, panels and briefings where most of the content comes from the stage. Fits the most people, but makes discussion harder.
  • Cabaret: groups at round tables. Best for workshops and training where people alternate between listening and working in small groups.
  • Boardroom: everyone around one table. Best for up to about 30 people making decisions together, such as a leadership offsite or steering committee.
  • Workshop or open space: clusters of tables, wall space and room to move. Best for design sessions, planning days and anything with sticky notes and whiteboards.
  • Standing: an open floor for launches, networking and receptions.

If your day mixes formats, ask the venue whether the room can be reset over lunch, or use a main room plus breakout spaces.

Catering

Food matters more than people admit. A few practical points:

  • Collect dietary requirements with registrations, not the day before
  • Serve lunch away from the working tables if you can, so people get a real break
  • Keep water, tea and coffee available all day
  • Lighter lunches help people stay focused in the afternoon
  • Check whether the venue arranges catering or lets you bring your own caterer

AV and hybrid participants

Almost every workshop now has someone joining online. To include them properly:

  • Use a camera that shows the room, not just the presenter
  • Use a microphone that picks up the whole room, or pass a handheld microphone
  • Assign someone in the room to watch the chat and bring remote voices in
  • Share digital versions of any whiteboard or sticky-note work
  • Test the link, sound and screen sharing before the start time

Accessibility

Ask the venue about step-free access, lifts, accessible toilets and space for wheelchairs at tables. Ask attendees about access needs when they register, and include clear directions, the level and a contact number in your joining instructions. Captions on video calls and printed copies of key material also help.

When is the best time to run a workshop in Canberra?

Canberra's calendar has a few patterns worth planning around.

School holidays. Many people take leave during school holidays. As at October 2026, the ACT Government's term dates show 2027 public school terms running 1 February to 9 April, 28 April to 2 July, 20 July to 24 September and 12 October to 17 December. Mid-term weeks are usually the safest choice.

Public holidays. The ACT has its own public holidays, including Canberra Day and Reconciliation Day. In 2027 these fall on Monday 8 March and Monday 31 May, according to the same ACT Government page.

Parliamentary sittings and Senate estimates. If your attendees work in or with the Australian Public Service, sitting weeks and estimates hearings can make diaries hard to pin down. Check the Parliament House sitting calendar and the Senate estimates hearing schedule before you send invitations.

Time of year. End-of-financial-year and the weeks before Christmas fill quickly. Book early for those periods.

Evening sessions and after-hours access

If your workshop runs late, or you're adding drinks or dinner at the end, check how guests will get into the building after hours. At Workspace by black vc, the building's lifts need a pass after 5:30 pm and the front doors lock at 7:30 pm. Confirm after-hours entry and who will meet your guests when you book.

Getting there

Workspace by black vc is on Level 3, 4 Mort Street, Canberra City, a few minutes' walk from the Alinga Street light rail stop and the city bus interchange. Plan trips with Transport Canberra.
