Canberra runs on meetings. Briefings, stakeholder sessions, interviews, tender clarifications and workshops all need a room that is quiet, professional and easy to reach. If your team doesn't have its own boardroom, or you're visiting from interstate, booking a meeting room by the hour is usually the simplest answer.

This guide covers how to choose the right room, what to expect on the day, and how to plan around travel to the parliamentary triangle.

How do I choose the right size meeting room?

Start with the number of people, then think about what they will be doing.

  • 2 to 4 people: a small room suits one-on-ones, interviews and short client catch-ups.
  • 5 to 6 people: good for project meetings and small team sessions with a screen.
  • 8 to 10 people: a boardroom suits steering committees, briefings and working sessions.
  • More than 10: look for rooms that can be combined, or an event space set up for a workshop.

Leave a spare seat or two. People spread out with laptops and papers, and a room booked at exact capacity can feel cramped by the second hour. If someone joins by video, they need to see and hear the whole room, which is easier with a little space around the table.

What should a good meeting room include?

Before you book, check the basics:

  • A screen you can connect a laptop to, and the right adaptors
  • Reliable wifi, with a guest network for visitors
  • A camera, microphone and speaker setup if anyone joins by video
  • Natural light and a comfortable temperature
  • A whiteboard, if you plan to work through ideas
  • Water, and access to coffee or catering

For hybrid meetings, test the call before your guests arrive. A two minute check of camera angle, sound and screen sharing saves an awkward start.

Booking by the hour

Hourly booking means you only pay for the time you use. Book a little longer than the meeting itself so you have time to set up and to reset the room before the next booking.

At Workspace by black vc, meeting rooms for 4, 6 and 10 people are bookable 9:00 am to 5:30 pm. As at October 2026, rates (excluding GST) are:

  • 4 person room: $80 an hour
  • 6 person room: $120 an hour
  • 10 person boardroom: $200 an hour

Every room has a screen and a video call kit. You don’t need a paid membership to book: sign in to the member portal with a free account. Paid memberships include a meeting room allowance, and both virtual office plans include two meeting room credits a month.

Larger meetings: combining boardrooms

We have three 10-person boardrooms that open into one space for 30 or more people. That suits a stakeholder forum, a training session or a team planning day that is too big for one boardroom but doesn't need a full event setup. Combined rooms are arranged by enquiry, so contact us with your date and numbers. If you need theatre or cabaret seating, catering and staff on site, see our guide to hosting an event.

How close is Canberra City to government offices?

Canberra City (Civic) is the commercial centre of Canberra. If your client's office is also in the city centre, walking is often the quickest option.

Parliament House is roughly 3.5 km from Civic in a straight line, across Lake Burley Griffin. Plan your trip rather than assuming it is a quick walk:

  • By bus: Parliament House's visitor information says its bus stops are on Federation Mall, about 200 metres from the public entrance. The Museum of Australian Democracy lists several routes from the city that stop within a short walk of Old Parliament House. Check current routes and times with Transport Canberra.
  • By car: Parliament House's public car park is undercover, and its visitor information says parking is free for the first hour.
  • Security: all visitors to Parliament House go through airport-style screening, and Parliament House advises allowing at least 15 minutes for it.

If you have meetings at Parliament House and in the city on the same day, leave a buffer of at least half an hour between them.

Getting to our rooms

Workspace by black vc is on Level 3, 4 Mort Street, Canberra City, a few minutes' walk from the Alinga Street light rail stop and the city bus interchange. There is on-street parking nearby, plus all-day parking at the Canberra Centre. Our map shows the nearest stops, taxi ranks and car parks.

Accessibility

Ask about accessibility when you book, especially for external guests. Useful questions include step-free access from the street, lift access to the meeting floor, accessible toilets, and whether the room has space for a wheelchair at the table. Let guests know in advance how to find the room and who will meet them. At 4 Mort Street there is step-free access and a lift to Level 3; ask us about accessible toilets before you book.

Tips for running government workshops

Meetings with government clients often have a few extra requirements.

  1. Send a clear agenda early. Officials often need to brief their managers before and after, so a short agenda with outcomes helps everyone prepare.
  2. Confirm security classifications. Check what can be discussed in a commercial venue and what material can be displayed or printed. Sensitive discussions may need to happen in the agency's own facilities.
  3. Plan for hybrid. Expect at least one person to join remotely. Ask which video platform the agency uses, as some can't use every platform.
  4. Watch the calendar. Parliamentary sitting weeks and Senate estimates hearings fill diaries quickly. Check the Parliament House sitting calendar before you set a date.
  5. Keep to time. Book the room for longer than the session, but finish when you said you would.
  6. Follow up quickly. Send actions and notes while the discussion is fresh.
