A virtual office is one of the simplest ways to have a Canberra presence. You get a real street address in the city, someone to receive your mail, and a place to meet clients when you need one. What trips people up is how that address can be used. A business address, a registered office and a principal place of business sound similar, but government registers treat them differently.

This guide explains each one in plain terms, so you can set up your records correctly the first time. It is general information, not legal or tax advice. If your situation is unusual, check with your accountant or lawyer.

What is a virtual office?

A virtual office is a service, not a space you occupy every day. A typical virtual office includes:

  • A street address you can use on your website, invoices and business documents
  • Mail handling, so letters and parcels are received on your behalf
  • Access to meeting rooms, and sometimes desks, when you need to work or meet in person

It suits interstate firms that need a Canberra address, consultants who spend most of their week on site with clients, and small teams that work remotely but want somewhere professional to receive mail and hold meetings.

Business address, registered office and principal place of business

These three terms come up when you register or update a company with ASIC. ASIC's guide to company addresses sets out how each one works.

Registered office

Your registered office is where official documents and legal notices can be sent to your company. ASIC says it must be a physical street address in Australia and cannot be a PO Box.

Your company does not have to occupy the registered office. If it doesn't, ASIC requires you to keep a record of the occupier's written consent to use the address, and to state that consent has been given when you lodge the address. People who buy information from the companies register can see this address.

Principal place of business

This is the main address where your company actually conducts business. ASIC says it must also be a physical address and cannot be a PO Box, and it is visible to anyone who searches the companies register. If your team works from home or from a client site most of the week, think carefully about which address genuinely fits this description.

Contact address

ASIC also lets you give an optional contact address for its correspondence, and this one can be a PO Box.

Business address in everyday use

Outside the registers, "business address" usually just means the address you print on your website, proposals, invoices and email signature. A virtual office address works well here, because it is where you receive mail and meet clients.

Using a virtual office address on your ABN and ASIC records

Your ABN record and your ASIC company record are separate, and updating one does not update the other.

ASIC. If a virtual office provider agrees to be your registered office, you will need their written consent before you lodge the change. Company address changes must be notified to ASIC within 28 days, or a late fee applies, according to ASIC's page on changing company addresses.

ABR. The Australian Business Register asks for your business address to be the physical location of your business, and lets you give a separate postal address. The ABR explains that government agencies use the business location to provide information and support during emergencies and natural disasters, and that changes should be updated within 28 days of becoming aware of them. If you mainly work from somewhere else, that location may belong in the business address field, with your virtual office address used as your postal address. Your accountant can confirm the right setup for you.

Can I use a virtual office for my Google Business Profile?

Generally, no. Google's Business Profile guidelines say that if your business rents a physical mailing address but doesn't operate out of that location, the address isn't eligible for a Business Profile. Google also says businesses can't list an office at a coworking space unless that office has clear signage, receives customers during business hours, and is staffed during those hours by your own team.

If you serve clients at their premises, Google's guidelines allow a service-area profile instead, which hides your address and shows the area you cover. If you later take a dedicated desk or a private office and genuinely staff it during business hours, you can revisit this.

How mail handling works

Mail handling differs between providers, so ask exactly what happens when something arrives. Useful questions:

  • Will I be told when mail arrives, and how?
  • When can I collect it, and can I arrange earlier or later collection?
  • Can you accept parcels and registered mail?
  • What happens to mail if I'm away for a few weeks?

At Workspace by black vc, we receive your mail, notify you by email, and you collect it weekdays 9 am to 5 pm, with earlier or later collection by arrangement.

Identity checks

Expect a reputable provider to verify who you are before you use their address, particularly as a registered office. Have photo identification and your company details ready. At black vc, the registered office address is available subject to identity verification.

What does a virtual office cost in Canberra?

Prices vary with what is included, so compare like with like. When you compare plans, check:

  1. Whether the registered office address is included or extra
  2. How mail is handled and when you can collect it
  3. How many meeting room hours or credits are included, and what extra time costs
  4. Whether desk days are included
  5. Whether prices include GST, and whether there is a minimum term or setup fee

As at October 2026, Workspace by black vc offers two month-to-month plans (prices exclude GST):

  • Virtual office, $99 a month: a Canberra City business address, a registered office address subject to identity verification, mail handling and two meeting room credits a month
  • Virtual office plus, $149 a month: everything above, plus two workspace days a month

Coworking members can add a business address and mail handling for $49 a month, and dedicated desks and private offices include them.
